A RESOLUTION OF THE MAYOR AND TOWN COUNCIL OF THE TOWN OF CUTLER BAY, FLORIDA, APPROVING THE SELECTION OF KONICA MINOLTA BUSINESS SOLUTIONS USA INC. FOR THE LEASE OF LARGE CAPACITY COPIERS BASED ON COMPETITIVE BIDS OBTAINED BY ANOTHER GOVERNMENT AGENCY; AUTHORIZING THE TOWN MANAGER TO NEGOTIATE AND ENTER INTO AN AGREEMENT; AND PROVIDING FOR AN EFFECTIVE DATE.

BACKGROUND AND ANALYSIS
The Town’s Leased Copier Agreement is up for renewal in Fiscal Year 2015-2016 (FY 15-16). The Town Manager’s office has found it prudent and in the best interest of the Town to utilize the contract of another governmental entity: State of Florida (Contract # 600-000-11-1) to contract with vendor Konica Minolta Business Solutions USA, Inc.
The Town is not required to conduct a separate competitive bid process. The Town’s purchasing guidelines, as described in Town Ordinance 06-22, allows for a purchase to be made under a State purchasing contract, or a contract of another municipal or governmental entity, and if that contract was awarded pursuant to a competitive bid process, and was based on clearly defined specifications. Funding for the proposed copier leases is included in each Department’s FY 2015-2016 Operating Budget.
RECOMMENDATION
It is recommended that the Town Council adopt the attached Resolution.
